Veeva Vault is a cloud platform from Veeva Systems that hosts regulated content and data for life sciences companies, and a family of applications built on it. This guide is for clinical operations staff, research administrators and site teams who meet “Vault” in a sponsor’s study start-up or inspection-readiness workflow and need to know what it is, which applications matter in clinical research, and where it sits among alternatives. It is general information, not a product endorsement or validation advice.
What is Veeva Vault?
Veeva describes Vault Platform as a cloud platform for managing data, content and AI agents, supporting life sciences with “50+ applications in a secure, high performance, validated environment” (Veeva, Vault Platform page, read 2026-11-07). The distinction that causes most confusion is between the platform (the shared infrastructure, security, workflow and API layer) and the applications that run on or alongside it, such as eTMF, CTMS, EDC, regulatory information management or quality management.
Veeva states three design pillars: proven use in regulated environments, connection through APIs, and extension through a Java SDK and certified partners. It also states that every release is IQ/OQ validated and that a validation package is provided to customers.
What is Veeva Vault used for?
Vault is used to hold controlled documents and structured data, with version control and approvals, in regulated functions. Veeva groups its applications into families; the ones relevant to clinical research are below (Veeva, Vault Platform page, 2026-11-07).
| Family | Applications Veeva lists | Role in clinical research |
|---|---|---|
| Clinical | Trial management, eTMF, EDC, eCOA, RTSM | Running the study, filing the trial master file, capturing participant data |
| Regulatory | RIM, Registrations, Submissions, Submissions Publishing and Archive | Regulatory submissions and registrations |
| Safety | Adverse event management, safety documents, reporting, signal detection | Pharmacovigilance |
| Quality | QMS, QualityDocs, Validation Management, Batch Release, Training | Quality system and controlled procedures |
Veeva also lists Medical, Commercial, Data and Vault AI families, which are outside the scope of clinical trial conduct.
The eTMF application
Veeva’s eTMF page describes document upload, version control, quality control and approval, real-time co-authoring with Microsoft Office, Expected Document Lists (EDLs) that track completeness and timeliness with auto-classification, risk-based document QC, a TMF transfer between sponsor and CRO at study close, and completeness views for sponsors, CROs and sites (Veeva, Vault eTMF page, read 2026-11-07). For what an eTMF must hold and how inspectors read it, see electronic trial master file (eTMF) and the guide to TMF essential documents and inspection readiness.
Is Veeva Vault a CRM?
Not in itself. Vault is the platform; Vault CRM is a separate Veeva application that Veeva places in its CRM Suite for commercial and medical engagement (Veeva, Vault CRM page, read 2026-11-07). A clinical trial site or sponsor’s clinical operations team will normally encounter eTMF, CTMS or EDC, not CRM. For how Veeva’s clinical trial management product compares with a competitor’s, see Veeva CTMS vs Medidata CTMS.
Who runs it and what it covers
Vault is developed and operated by Veeva Systems, which markets it as an industry cloud for life sciences. Veeva’s eTMF page names sponsors, CROs and sites as its users. In practice, sites usually receive access from the sponsor or CRO that licenses the application, with the licensing organisation’s administrator controlling accounts; confirm this with your sponsor.
Which companies use Veeva Vault?
Veeva’s own pages carry customer counts and logos that are not consistent from page to page, so no single figure is quoted here. Treat any customer count as a vendor claim and ask the sponsor or CRO which Vault applications your study uses.
Finding your way around Vault documentation
Veeva publishes Vault Help (platform.veevavault.help) with “Using Vault” topics on documents and objects, “Administering Vault”, video tutorials, advanced search, release notes and a developer portal. It shows release tracks such as a General Release and a Limited Release (read 2026-11-07). The sign-in is on a separate login site, not on the help site.
How much does Veeva Vault cost?
Veeva does not publish pricing on the product pages read for this guide; commercial terms are arrangements between Veeva and each licensee. For a framework on comparing clinical systems without relying on list prices, see how to select a CTMS.
Strengths and limits
- Vendor-stated strengths: one platform across clinical, regulatory, safety and quality; per-release validation documentation; API connectivity. Veeva also claims its Direct Data API is “100 times faster than traditional APIs”, a vendor claim not independently tested here.
- Limit (editorial interpretation): a vendor validation package does not remove the sponsor’s or site’s own responsibility for risk-based computer system validation and for controls required under 21 CFR Part 11 where it applies. Configuration, user access, training and procedures remain with the regulated organisation.
Alternatives
Named only as examples of vendors active in the same segments, from vendor product pages and market summaries; this is not a ranking or an equivalence claim.
| Need | Veeva application | Example alternatives |
|---|---|---|
| CTMS | Veeva CTMS | Medidata CTMS |
| EDC | Veeva EDC | Medidata Rave EDC (see Rave EDC guide for coordinators), Oracle |
| RTSM / IRT | Veeva RTSM | Medidata Rave RTSM, Oracle Clinical One, IQVIA, Suvoda, Signant Health |
| eTMF | Vault eTMF | PhlexTMF (Cencora/Phlexglobal) |
Is Veeva Vault the same as Veeva CRM?
No. Vault is the platform; Vault CRM is a separate application in Veeva’s CRM Suite for commercial and medical engagement.
Do sites need to buy Veeva Vault?
Typically access is provisioned by the sponsor or CRO that licenses the application. Confirm with your sponsor.
Is Veeva Vault validated?
Veeva states each release is IQ/OQ validated and a validation package is provided. Your organisation still decides what further validation its own use requires.
